How to Create a Well-Planned Board Meeting Agenda

By: Tim Mcintosh

An agenda for board meetings is a guideline that sets the tone and framework for discussions at board meetings. A well-planned agenda for your meetings will aid you in avoiding common pitfalls which can lead to poor decision-making and hinder productivity.

The first item on a board meeting agenda should be “Call to Order and Time”. This is when the chairperson calls the board to start the meeting or introduces new members or gives other opening remarks. It’s also a good opportunity to discuss any changes to the agenda and to approve any minutes that have been approved previously.

Each item on the agenda for the board meeting should contain a brief description of the topics to be discussed during the discussion, along with the summary of any supporting materials. Inputting this information in advance saves time during the meeting and ensures that all attendees have access important background information. It also keeps discussions focused and productive.

It is important to prioritize your agenda issues based on their relevance and urgency, as well as their alignment with your strategic goals. This will save you time by not wasting your time on topics that aren’t important or have little impact. If you’re dealing with a lot of agenda items, think about scheduling a follow-up session or assigning the items to committees that specialize in the subject to study more deeply.

Additionally, you should set realistic time frames for each agenda item. This will help prevent discussions from running over the time limit and will allow you to end your meeting at the right time. It’s important to note that these timeframes are just guidelines, and that it’s acceptable to modify them if necessary during the meeting. You may want to allow more time to your board the next time if they are likely to have a lot of questions on the subject.
